Data and privacy

Kwantflow separates local estimating work from hosted account services.

Local workspace data

Your desktop workspace contains the business information you use for estimating, including:

  • RFQs and customer records;
  • materials and rates;
  • files and drawings;
  • assets, takeoffs, and estimates;
  • quote work;
  • workspace settings and reusable setup data;
  • workspace AI knowledge and feedback;
  • mailbox connection settings and remembered RFQ detection results.

Linking a Kwantflow account does not automatically upload your local RFQs, estimates, rates, or drawings to the account dashboard.

What the account manages

Your hosted account manages account-level services such as:

  • sign-in identity;
  • subscription and billing;
  • plan allowances;
  • linked desktop installations;
  • account access and entitlement status.

The account dashboard does not replace the local workspace.

Workspace separation

Each workspace is a separate business environment. Its customer records, rates, email connections, estimating data, and AI guidance do not become part of another workspace when you switch.

Check the active workspace before importing records, connecting a mailbox, or creating an RFQ.

Connected email

Gmail and Outlook connections are configured for the active workspace.

Kwantflow can fetch email needed for the mailbox workflow while the app is open. RFQ detection reviews the sender, recipients, subject, and normalized message body. Attachment contents are not needed for the initial RFQ detection decision.

Attachments selected for RFQ intake are handled separately from the email text. Review the prepared intake before saving any RFQ.

Remote email images are blocked by default because loading them can reveal that a message was opened. Load them only when you trust the sender and need the images.

Kwantflow AI

Kwantflow AI runs on the device after its one-time download.

The AI may use the active workspace context when you ask it to search records, calculate values, draft an estimate, prepare an email, or propose record changes. AI output still requires review.

Workspace knowledge stays tied to the workspace where it was added.

Backups

Workspace restore points are local to the device. A restore replaces the current local workspace state with the selected restore point.

Create a manual restore point before a large import or cleanup when you may need to undo the change.

Before sharing information

Follow your organisation’s policies before adding customer files, personal information, or confidential commercial data.

Before sending a quote or email, verify:

  • recipients;
  • attachments;
  • commercial totals;
  • customer references;
  • inclusions and exclusions;
  • any AI-generated wording.
